With several hundred customers, producing statements at the end of each month was always time consuming. At busy times like the run up to Christmas, even preparing invoices was a chore. Sometimes it would be well into the next month before all the invoices were done, but only then could the statements be prepared.
With plans for growing the business by two to three times, the last thing wanted was perpetuation of time and money consuming admin. Although an accounting package would have helped, it would still have been necessary to do quite a lot of manual entry. Orders themselves we complex, with lots of configuration and the need to check and allocate stock, so standard packages did not seem to fit the bill.
The ingeneros team tailored the order processing system so that it exactly fitted both the products and the customer interaction. A lot of effort went into understanding the process. It was possible to produce invoices as side product of the order processing so that they could be printed or emailed without any real effort. It was just a matter of pressing a button each day to produce all the invoices for the previous day. At the end of the month there was another routine which allowed all the statements to be run off.
Getting statements efficiently not only saves time but improves cash flow and makes it easier to focus on credit control.
